How to Reduce Manual Data Entry

Most manual data entry is the same record being typed a second time. Fix that first.

There are only five real ways to reduce manual data entry, and they are worth trying in order. First, delete: a surprising share of fields are captured because a form once asked for them, not because anyone reads them. Second, integrate: if the same record exists in two systems, connect them so it is entered once and synchronised, which removes both the typing and the reconciliation that follows it. Third, capture structured input at the source — a form, a portal, a scanner — instead of accepting free text and normalising it later. Fourth, extract: where the input arrives as a PDF, email or scan, document understanding models can now read, classify and populate fields at accuracy levels that beat tired humans, provided low-confidence cases are routed to review. Fifth, validate on entry rather than in a monthly clean-up, because the cost of bad data is almost always paid downstream.
